Phrase TMS (formerly Memsource) is a cloud-based translation management system offered by Phrase. It is used by enterprises, translation companies, and translators for managing translation projects and workflows.
Use cases:BeLazy supports integration with Phrase TMS through a comprehensive connector that enables seamless translation project management. There are five main use cases where the Phrase TMS integration comes in handy:
- Your customer sends you work via a buyer-vendor relationship, and you want this work to be managed in your business management system,
- You have connected Phrase TMS to a content management system and projects and jobs are automatically being created, and you want these projects and jobs to be managed in your business management system,
- You are using the Phrase TMS Submitter Portal to allow your customers to create projects, and you want these projects to appear in your business management system,
- You create projects in your instance of the Phrase TMS (for example due to custom integrations or file engineering reasons), and you want these projects and jobs to automatically appear in the business management system,
- You want everything that happens in Phrase TMS to be automatically reflected in your business management system or tracker.
BeLazy connects Phrase TMS with any business management system or tracker, and allows
- project and job listing with all details, including creating or picking up existing analysis,
- project creation in a business management system or tracker,
- linguist assignment monitoring in Phrase, and reassigning linguists in the business management system or tracker,
- linguist assignment monitoring in the business management system or tracker, and reassigning linguists in Phrase,
- delivery monitoring in Phrase, and closing the corresponding jobs in the business management system or tracker,
- delivery monitoring in the business management system or tracker, and closing the corresponding projects and jobs in Phrase TMS.

Integration type:
The Phrase TMS integration utilizes the official Phrase TMS APIs. The integration automatically recognizes user roles (Project Manager or Linguist) based on the user credentials provided, with different capabilities available depending on the detected role. The integration also supports webhooks coming from Phrase TMS.
Requirements:
In order to access Phrase TMS, BeLazy uses its APIs. The Starter and Freelance editions are not supported because they do not have the APIs enabled. You need your Phrase TMS username and password with appropriate permissions.
Expected URL format:
The URL is https://cloud.memsource.com or https://us.cloud.memsource.com, depending on your instance location.
Phrase TMS-specific configuration:
The Phrase TMS integration has two connector-specific configuration pages.
Operation modes:
Phrase TMS supports two distinct operation modes:
- Project-based model: Each Phrase TMS project represents a project in BeLazy with all the files (jobs) inside. Updates to Phrase TMS projects, after the project is accepted in BeLazy, are ignored.
- Continuous, job-based model: Each file (job) in Phrase TMS is represented by an individual project in BeLazy. Newly added files (jobs) in existing Phrase TMS projects are picked up by BeLazy offering you to manage continuous Phrase TMS projects. The project structure can be retained in the business management system or tracker through the bundling functionality in BeLazy.
The operation mode is selected on the first Phrase TMS-specific configuration page:
User role configuration:
The integration automatically detects user roles:
- Project Manager role: Full configuration options available, can work in both project and job modes.
- Linguist role: If your user only has Linguist permissions, you can only use the job-based model with restricted capabilities. Linguists cannot generate analyses, but must always use external analyses, cannot reassign vendors, and can only set the completed job types to Delivered, rather than Completed. Because of this, users in the Linguist role do not have Phrase TMS-specific configuration requirements.
Specific settings:
The second page of the Phrase TMS-specific configuration allows you to customize the behavior of the connection.
Approval and workflow settings:
- Assign the connector's user to the jobs on approval allows BeLazy to automatically assign the user whose credentials are entered for the connection to be automatically assigned when an opportunity is accepted in BeLazy and turned into a project.
- When Do not process jobs already assigned to other users is enabled, only jobs and projects assigned to the connector's user are listed even if on the user interface the user can see more jobs. If it is disabled, every job and project that the user can see will be synchronized with BeLazy. If you do not see the project you are looking for, disable this option.
Analysis settings:
Choose between BeLazy analysis or external analyses:
- Use BeLazy analysis: Projects without comprehensive analysis run an analysis before adding information to the business management system. BeLazy uses the specified Phrase-specific analysis options to give you the right results.
- Use external analyses: BeLazy waits until all necessary analyses are ready in Phrase and does not create any analysis. Each analysis needs to be created within one hour from when the project becomes available.
Delivery settings:
Configure delivery status and project completion options (Project-based operation mode only):
- Select if business management system or tracker-triggered delivery should turn the Phrase TMS job status to Delivered or Completed.
- Consider project delivered in BeLazy when all jobs have been delivered allows BeLazy to move the project from the Deliveries pending list to the Delivered within list when every job in the project is detected to be delivered. This does not change anything in Phrase TMS.
- If you enable the Switch origin project's Status to Completed in Phrase TMS when all jobs have been delivered checkbox, BeLazy will turn the project's status to completed when it detects that all jobs that make up the project have been delivered.
Project filtering:
The Phrase TMS connector offers project exclusion, especially because supported business management systems such as XTRF or Plunet already have a Phrase TMS connector, and if you are using those integrations as well, you do not want those projects to be created again. Configure which Phrase TMS projects should not be created in BeLazy using regular expressions.
Functionalities and connector-specific information:
- Unit of acceptance: Project (project mode) or Job (document per target language) (job mode, or linguist user type integration). Project bundling allows you to recreate the original projects if you are using the job mode.
- Multiple target languages: Supported in both modes
- Specialization, End Client (Buyer, Client, Cost center, Business unit), Workflow, Analysis: Extracted from project metadata and configurations
- Pricing: Net rate schemes, price lists, and comprehensive rate mapping supported, but not compulsory, pricing may come from the business management system
- Project exclusion: Supported
- Download files: Online workflows only, bilingual document download not yet supported
- Delivery: Bidirectional delivery support, automatic project completion
- Linguist assignment: Bidirectional with configurable vendor mapping and automatic creation
- Vendor creation: Automatic vendor creation on demand with configurable naming conventions
- Project bundling: Supported with language and workflow step merging
- 2-factor authentication: Not supported
- Analysis creation: Automatic, with configurable naming conventions and options. It is possible to create separate receivable and payable analyses (for example, if you are using QPS)
- Analysis import: Comprehensive analyses coming from customers will be taken over after a completeness check that makes sure all jobs are included in the analysis.
- Webhook support: Phrase TMS generated webhooks are supported
- Continuous projects support: Both continuous projects and continuous jobs are supported
- XTRF-specific user name management: If you are using XTRF with Phrase TMS, BeLazy takes over the already existing linking between the XTRF vendor and the Phrase TMS user from XTRF's Provider information under Main data / System accounts / Username in external system
Important:
Projects created more than 24 hours before setting up the connection are not picked up.
