Most users don’t need to change the setup on the Files page. If you’re creating your first connection, you can safely skip this part and return later if you notice file-related issues in your projects.

Zipping source and reference files

This option is helpful if you work with XTRF Smart projects or Protemos, especially when using bundling and managing multiple files (not just links).

For example, If you receive daily translation batches but group them into a monthly project, these systems store files but don’t separate them into tasks. This makes it hard to tell which files belong to which batch.

By enabling zipping, BeLazy automatically groups all the source files from an opportunity into one ZIP file and uploads it to your business management system. The ZIP will follow the naming convention you define.

This keeps your files organized and easier to manage — especially when dealing with large numbers of files.

Ignoring files

File ignoring lets you control which files are transferred between systems. It has two main uses:

a. Avoid uploading large, repeated reference files.
Some customers send huge reference documents with every small job. If you don’t want to store the same 75 MB file for each 10-word task, you can simply exclude it here.

b. Prevent specific files from being sent back during delivery.
For example:

  • Translators may include internal notes (like translationnotes.txt) that you don’t want to send to the client.

  • Or, if you’re using Plunet, it may save copies of sent emails (.msg files), and you probably don’t want to upload those to the client’s portal.

Setting up file exceptions is easy, no coding or complex patterns required. Just type a simple file name rule.

For instance: if you want to exclude all files that start with “REF” and end with “.DOCX”, type: REF*.DOCX and click the plus (+) button to add it.

You can also use these symbols in your patterns:

  • * for any number of characters

  • ? for a single character

  • \ as an escape character

This flexible setup helps you keep your project folders clean, saving storage and preventing unwanted files from being transferred automatically.

Important: exclusion rules are case sensitive, so if you don’t know if a file extension is going to be upper or lower case, it is recommended to include both.

Tip: If you don’t need any files downloaded, you can ignore all file download by entering *.

File storage options

Files can be saved in BeLazy temporarily or permanently.

There is a checkbox in the Files settings that allows you to permanently store the files in BeLazy in case you want to manually download them after the project is created in the BMS or use them through an API if you have an AI process on your end.

Only deactivate this if you are storing files in your business management system. The option is there if your client is sensitive about storing files in the cloud. If you deactivate this option, BeLazy cannot export/import XLIFF in the TMS, so it cannot create TMS projects, perform any AI functionality, quality and edit distance measurement, etc. Deactivate it at your own risk. Of course BeLazy still needs to download the files to transfer them to your business management system, but if you deactivate this option, it immediately deletes the files either after successful project creation, or if the project creation fails, after 8 days.
